Organisational Structure

The organogram represents the structure of the EMSA Iasi team. The roles and responsibilities of each department are clearly defined and agreed on by all team members. Each role is important, and all must work together to achieve the set goals and ambitions of the organisation.

Definition of roles

  • EMSA (Organising) Team – comprises the entire functioning team within EMSA Iasi, which includes the Executive team, Board members and Assistants.
  • The Executive team – The executive team have the responsibility of general management, administration and coordination of all activities and all departments within EMSA Iasi. The President, Vice president, Secretary and the Treasurer  are members.
  • Board Members – Board members have voting rights in EMSA Iasi. The President, Vice President, Treasurer, Secretary and all department directors are members.
  • Assistants – The Assistants belong to their specific departments and help the directors in creating and coordinating events.
  • Active Members – Active members pay a membership fee, and belong to the EMSA Iasi family.

President
The President’s role are as follows:

 

  • Sets the vision and pace for EMSA Iasi.
  • Have a general management and oversight of the EMSA Iasi team.
  • Be responsible for coordination of the various departments, as well as share the
    responsibility of their tasks.
  • Call for, and chair all EMSA Iasi board and team meetings either online or onsite
  • Represents EMSA Iasi legally.
  • Responsible for EMSA Iasi social media, website and email accounts.
  • Ensure that the guidelines in the EMSA Iasi handbook are observed.
  • Be responsible for maintaining and establishing the contacts with relevant institutions;
    (non-)medical, (non-)students, European and international entities, together with the vice
    president.
  • Represents EMSA Iasi at EMSA EU meetings such as general and spring assemblies.
  • Responsible for the financial stability of the organisation together with the Treasurer.

Vice-President
The Vice President’s role are as follows:

  • Assumes the functions of the President in their absence.
  • Responsible for  internal communication and team cohesion within EMSA Iasi.
  • Responsible for updating the EMSA Iasi handbook.
  • Responsible for EMSA Iasi biannual reports.
  • Responsible for training and development of EMSA Iasi team members.
  • Coordinates and assists in all internal meetings.
  • Represents EMSA Iasi legally.
  • Responsible for EMSA Iasi social media, website and email accounts
  • Responsible for the coordination and supervision of the directors.
  • Represents EMSA Iasi at EMSA EU meetings such as general and spring assemblies.
  • Encourage collaboration among the Directors.
  • Responsible for engaging EMSA Iasi Active members
  • To have an oversight and share responsibilities of all the department.
  • Responsible for updating and maintaining the EMSA Iasi website. 
Maria Popescu

Secretary

  • Responsible for all EMSA Iasi official correspondence which includes emails and SMS messages.
  • Creates biannual reports with Vice President.
  • Responsible for maintaining EMSA Iasi calendar and schedule.
  • Responsible for room  and venue bookings for all activities and events
  • Works with EA for administration for workshops, conferences and other EMSA Iasi events.
  • Coordinates EMSA Iasi internal meetings.
  • Writes up minutes in Internal meetings
  • Writes EMSA Iasi official letters and documents.
  • Responsible for all EMSA Iasi official translations.
  • Responsible for keeping all EMSA Iasi official templates for letters, emails etc
  • Coordinates and administrate team appraisals.
  • Responsible for EMSA Iasi cloud storage accounts
Sruthi Patnaik

Treasurer

  • Responsible for the management of EMSA Iasi finances.
  • Keeps accounts of all finances including official bookkeeping.
  • Responsible for maintaining EMSA Iasi bank account.
  • Creates and coordinate fund raising activities.
  • Establishes and maintains relationship with sponsors.
  • Issues official invoices and receipts.
  • Responsible for membership and other fee collections.
  • Organises fund raising events together with director of social events.
Departments
  • Responsible for the EMSA Iasi email account
  •  Responsible for maintaining EMSA Iasi calendar and schedule
  • Responsible for room bookings and venues for all activities
  • Works with the executives for administration for workshops, conferences and other EMSA Iasi events
  • Writes up minutes in Internal meetings
  • Writes EMSA Iasi official letters and documents
  • Responsible for keeping all EMSA Iasi official templates for letters, emails etc
  • Sends reminder emails and texts to participants a few days prior to events taking place

  • Maintains EMSA Iasi headquarters .
  • Schedules office hours for EMSA Iasi team and attends office hours.
  • Welcomes students during office hours and offers assistance for any queries they may have.
  • Participate in the diploma making process for both team members and participants of all EMSA Iasi events.

    • Responsible for the design of all EMSA Iasi posters and certificates
    • Responsible for updating and maintaining social media platforms and website
    • Responsible for all EMSA Iasi official photographs
    • Design EMSA Iasi paraphernalia
    • Train other team members on editing software such as photoshop or illustrator.

    • Coordinate, design and post public health initiatives online and onsite
    • Organise local public health awareness campaigns in public and open spaces
    • Organise public health conferences online and onsite
    • Promote and encourage healthy lifestyle choices among medical students.

  • Create practical workshops on medical, surgical and scientific topics
  • Develop innovative ways of medical education through workshops and training activities
  • Organise workshops to develop core medical skills such as basic life support, ECG, ultrasound etc.
  • Develop and maintain a database of all professors and speakers for workshop.

  • Organise interactive training on personal skills and development
  • Create guidelines on soft skills such as CV writing, leadership skills, thesis, how to conduct a research
  • Organise workshops on medical case presentations and public speaking
  • Organise motivational speaking training sessions for medical students
  • Offer guidelines to medical students on post graduate expectations and specialty training.

  • Create conferences and practical workshops related to dental medicine and dental surgery
  • Develop innovative ways of dental medicine education through workshops and training activities
  • Organise workshops to develop core dental medical skills
  • Develop and maintain a database of all professors and speakers for workshop

  • Promote medical ethics and human rights issues online and onsite
  • Encourage and educate team members on medical ethics topics
  • Organise events such as debates, back chats and movie nights on relevant topics
  • Organise case presentations and encourage discussions on medical ethics and human rights.

  • Encourage and coordinate twinning projects within Europe
  • Organise short trips and tours locally, nationally and within Europe
  • Create and coordinate book fairs and encourage exchange of books and ideas among students.
  • Promote European culture and identity

  • Ensures EMSA Iasi team cohesion and collaboration among departments
  • Responsible with Vice President for coordinating EMSA Iasi internal meetings
